Quick Start Guide

Build a two-stage workflow, publish it, and work your first patient through it

This guide takes you from an empty Workflow Builder to a patient moving through a published workflow. It uses one Lead Source, two stages and an End Stage.

Step 1: Create the Workflow

Open Settings → Builders → Workflow Builder, press Create Workflow, enter a Name and press Save. Click the name to open the canvas.

Step 2: Say Who Enters

Press Add a Lead Source. Give the rule a Rule Name and pick the Source your patients arrive with, for example the source your front desk uses when adding patients. Press Save.

Step 3: Add the First Stage

Press Add a new stage and double-click it.

  • Stage name: the step, for example a first call.
  • Assign to: Agent, then Always and the agent who makes these calls.
  • Stage Due Time: how long the team has for this step.
  • Under Tasks, write what the agent must do in Add tasks for agent.
  • Switch Manual Call Actions on and add one Retry After row under Did not pick up.
  • Under Attach Form, pick the form the agent fills after the call and add one condition per answer that should move the patient on.

Press Save, open the node menu and choose Set Start Node. Connect the Lead Source's output to this stage.

Step 4: Add the Second Stage and the End

Add a second stage the same way, then press End Stage. Connect the first stage's form condition output to the second stage, and the second stage's outputs to the End Stage.

Step 5: Save and Publish

Press Save, then Publish. The list now shows the workflow as Published. Any workflow that was live before is now a draft.

Step 6: Bring In a Test Patient

Open Care Manager → Leads, press + Add Patient, enter a phone number and press Check. Add the patient with Trigger Workflow switched on. The patient appears under the first stage's tab, in Today.

Step 7: Work the Patient

Click the card. Press Update Call Status → Didn't Pick Up: a fresh call task appears. Fill the form in the Feedback panel and press Submit: the patient moves to the second stage. Repeat there; the workflow ends at the End Stage and the card leaves the board.
