Building a Workflow

The Workflow Builder page: creating a workflow, reading the list, the Analytics tab and deleting

The Workflow Builder is where an administrator creates, opens, publishes and deletes workflows. It lives under Settings → Builders → Workflow Builder and needs Care Manager enabled on your account.

Creating a Workflow

  1. Press Create Workflow.
  2. Enter a Name, at least one character, and press Save. "Workflow Created" confirms it.
  3. The workflow appears in the list as a Draft with the current date under Created At.
  4. Click the name to open the canvas (see The Canvas).

A new workflow is empty: no nodes, no start node. It cannot be published until it has a start node.

The Workflows Tab

Column

Meaning

Workflow Name

The name you gave; click it to open the canvas. A Default chip marks the workflow set as your default

Keywords

Keywords attached to the workflow; +N more keywords expands the list, - hide keywords folds it

Created At/Updated At

When the workflow was created and when it was last saved, with the time

Status

Published for the live workflow, Draft for every other

Sessions, Completed, Dropped

How many patients have run through it, finished it and dropped out of it

Action

The menu with Delete Workflow

Every column except Action sorts when you click its header. Only one workflow shows Published at a time, because publishing one unpublishes the others (see Publishing and Validation).

Deleting a Workflow

Action → Delete Workflow asks "Are you sure you want to delete the workflow?" with Close and Delete. Deleting removes the workflow from the list; "Workflow Deleted!!" confirms it. Patients already inside a deleted workflow are not moved or closed by the deletion.

Delete drafts you no longer need. To take the live workflow offline, use Unpublish on the canvas instead; a deleted workflow cannot be published again.

The Analytics Tab

The Analytics tab shows how patients have moved through workflows over a date range.

Element

Meaning

Date range

The days covered; it opens on the last seven days up to yesterday

Sessions

Patients who entered a workflow in the range

Active, Completed, Dropped

Of those, how many are still inside, finished, or dropped out, each with its share of Sessions

Clicks / Session, Time / Session (mins)

Interaction counts and time per run

The table

One row per patient: Date & Time, Name, Phone Number, the workflow name, and the run's Status

Clicking a Phone Number opens that patient's conversations.

Where the Rest Happens

  • Drawing and editing the design: The Canvas, The Stage Node and the node pages.
  • Making the design live and taking it down: Publishing and Validation.
  • Watching patients move: The Care Manager Board.
