Stage Tasks
The to-dos a stage creates for the agent: every field, what the agent sees, and how tasks drive the due badge
Tasks are the to-dos an agent sees when they open a patient in a stage. Each task you add under Tasks becomes a real task on the patient: it appears on the Tasks tab with a status and a due time, its text appears under Tasks to be done on the Overview, and its due time decides which bucket the patient sits in.
A stage needs at least one task; press Add Task for more. Each task is an accordion titled Task 1, Task 2 and so on, followed by the first words of its text, with a delete icon when there is more than one.
How a Task Behaves
- When the patient enters the stage, the platform creates one task per row, in the patient's stage conversation, assigned to the agent the stage chose.
- The task's title is the text of Add tasks for agent. Its description is Add agent instructions.
- The task falls due 24 hours after it is created. Until then it counts as Today or Upcoming; after that it is Overdue.
- The patient's card shows the earliest open task's due time as its due badge, and that time decides the patient's bucket on the board.
- The task is resolved when the patient leaves the stage: a call outcome that moves them, a matching form condition, a manual Select Stage or the end of the workflow. A form submitted with a follow-up time also resolves the open tasks and creates a dated one in their place.
What the Agent Sees
Where | What appears |
|---|---|
Overview, Tasks to be done | The text of Add tasks for agent, for the stage the patient is in |
Overview, Instructions | The text of Add agent instructions |
Tasks tab | One block per task: the title, a status tag, Task Id, Task Status, Due Time, Task Created At and Assigned Agent |
The card | The due badge and the Today, Upcoming or Overdue bucket, from the earliest open task |
Write the task text as the action the agent takes, and the instructions as how to do it well. A task left without text is created with the title "Task Ticket".
Add Task Condition
Decides when the task is created.
Option | Meaning |
|---|---|
On Entry | The task is created when the patient enters the stage |
On Attribute | The task is created at the date held in a patient attribute you pick, for example a scan date or a due date. A patient with no date in that attribute gets the task at entry |
On Attribute opens an attribute picker with a search box, your Contact Attributes and a Create Attribute action. Pick an attribute that holds a date.
Example: a stage "Report review" with a task On Attribute using the attribute that holds the report date. The task is created on the report date, so the patient appears in Today on that morning instead of at stage entry.
Add Tasks for Agent and Add Agent Instructions
Both are free text. The first becomes the task's title and the Tasks to be done text, so keep it to the action: "Call the patient and confirm the appointment". The second becomes the task's description and the Instructions text: what to check, what to say, what to record.
Task Time Delay and Due Time
Setting | Your options | Default |
|---|---|---|
Task Time Delay | A number in Seconds, Minutes, Hours or Days; must be above 0 | 1 Seconds |
Due Time | 1 to 9999, in Hours or Days | 1 Hours |
The same limits apply as on the stage: numbers above 9999 are refused with "Time value should be less than 10,000", and an empty or zero number with "Time value is required and must be greater than 0".
Several Tasks in One Stage
Each row is its own task with its own status. A stage "First consultation" can carry "Call the patient", "Confirm the report is uploaded" and "Book the follow-up": the agent sees three blocks on the Tasks tab and three lines under Tasks to be done. All three are resolved together when the patient leaves the stage.
